# Get your store ready for the Levelset app

> The steps to finish on the dashboard before your team signs in to the Levelset app: roles, app access, emails, HotSchedules, positions, setups, discipline, checklists, debriefs, evaluations, goals, store hours and Kiosk Mode

The **Levelset app** is Levelset on a phone, and on a store iPad. It shows each person the day's setup, their tasks and their schedule, and lets leaders rate, file discipline and close out a shift without a computer. All of that comes from what your store has set up on the dashboard. A store with no setup templates, no discipline rules or a schedule that hasn't been imported in weeks gives its team an app with little in it, and people who open an empty app rarely open it twice.

Work through the steps below on the dashboard, in order, before you invite your team. Most take a few minutes; the ones that take longer, such as setup templates, are the ones your team will use most. When you're done, [roll the app out](https://docs.levelset.io/guides/app-rollout.md), leaders first.

## The checklist on Home

On the dashboard's **Home** page, **Get your store ready for the Levelset app** lists these steps for the store selected at the top of the sidebar, with a progress line such as "6 of 9 required done". Each item has a link to the setting that fixes it, **How**, which opens its step on this page, and **Ask Levi**, which asks Levi, the assistant built into Levelset, about it. You see only the items you can fix. Once every required item is done it folds to one line, **Ready for the app**. Any item can be dismissed, one at a time or all at once. The required items must be done at every store before your organization can turn on **Invite your team to the Levelset app**; a dismissed required item still counts for that and still shows in the progress line.

## Your plan

Levelset has two plans, **Measure** and **Deploy**. The app works on both. Some of what it shows comes with Deploy: building schedules in Levelset, approvals, **Kiosk Mode**, the Levelset app running on a store iPad shared by the whole store, where each person signs in with their clock-in PIN, and Levi-guided debriefs. See [Billing and plan](https://docs.levelset.io/organization/billing.md).

## Roles

A **role** is a job title in your organization, such as Team Member, Trainer, Team Lead or Director (use your own). Roles decide what each person can do in the app, so every team member needs a role your organization has defined, every role needs a permission level, and you need at least one leader role.

Open **People > Team & Access**. On **Roles**, check the list and its order, highest first. On **Team members**, check that nobody's role is blank or a name your organization doesn't use, and fix it on their row. See [Roles](https://docs.levelset.io/team/roles.md) and [Team members](https://docs.levelset.io/team/team-members.md).

## App access

Each role has a **permission level**, the set of things a login with that role can do. A person can sign in to the app only when their permission level includes **Mobile App > Access Mobile App** and their own **Levelset app** switch is on.

On **People > Team & Access > Roles**, open each leader role's permission level and turn on what your leaders do on the floor:

| What they do in the app | The permission |
| - | - |
| Sign in to the app at all | Mobile App > Access Mobile App |
| Rate a team member | Positional Excellence > Submit Ratings |
| File an infraction | Discipline > Submit Infractions |
| Record a disciplinary action | Discipline > Record Actions |
| Close out a shift with a debrief | Scheduling > Submit Debrief |
| Place people on the setup | Scheduling > Manage Setups |
| See checklists | Forms > View Forms |
| Open a submitted form | Forms > View Submissions |
| See lagging goals | Goals > View Lagging Goals |
| Start Kiosk Mode on a store iPad | Kiosk Mode > Manage Kiosk Mode |

Team members usually need only Mobile App > Access Mobile App. See [Roles](https://docs.levelset.io/team/roles.md#invite-a-whole-role-to-the-app).

## Emails and logins

Every app login starts from an email address: the invite goes there, and the person signs in with it. A team member with no email can't be invited.

On **People > Team & Access > Team members**, check that every leader, and as many team members as you can, has an email. Emails come in from the HotSchedules import; type a missing one on the person's **Access** tab. Then check each leader has a login linked to their team member record. See [Access](https://docs.levelset.io/team/access.md).

### Operator record

The **Operator**, the owner of the restaurant, should have their login linked to their own team member record too. Without it, the app's **Me** tab has nothing to show them.

## HotSchedules

The app's **My Schedule**, the setup and the tasks that go out after each shift all read the week's schedule, and the schedule comes from **HotSchedules**, the scheduling system your store already uses. Nothing imports it on its own: a leader runs the import every week, once the week is posted.

Open **Scheduling > Schedule** and click **Sync** to import this week. In a store whose last import is more than a week old, or whose import brought the team but not the week's shifts, the app's **My Schedule** shows **This week** with every day marked **Off**, and the Today card on **Home** says **This week's schedule hasn't come through yet**. See [Import the week from HotSchedules](https://docs.levelset.io/schedule/overview.md#import-the-week-from-hotschedules).

A store that is not connected to HotSchedules does not have this item: the checklist leaves it out and it never holds up the invites.

## Positions

A **position** is a spot in the store someone works during a shift, such as Front Counter, Drinks or Breader (use your own). Positions sit in **areas**. Every organization has front of house (FOH), where guests are served, and back of house (BOH), the kitchen, and can add more. Leaders rate team members on positions in the app, so each position needs to be ready to rate.

Open **Performance > Set up > Positions and ratings** and check:

* FOH and BOH each have active positions set to **Use for positional ratings**, each with its criteria, the things a leader scores 1 to 3;
* every position used for ratings has a **Rated by** role: its own, else its area's, else your organization's default, so the right leaders can rate it;
* each HotSchedules job is connected to a position on the **HotSchedules jobs** sub-tab, so shifts land on the right position;
* at least 90% of your active team members have their positions turned on.

See [Positions and ratings](https://docs.levelset.io/positional-excellence/settings.md).

## Setup templates

A **setup** is who works which position for each part of the day, and a **template** is the shape of an area's day: its positions, how many people each needs, and its time blocks. The app's **Setup** tab shows the day's setup, so each area your store schedules needs at least one active template with its slots and its days.

Open **Scheduling > Setups > Areas & Templates**, and for each area build a template. On it, mark one position **Responsible for shift**, the person in charge of the area during the block; that person gets the debrief for the **daypart**, a stretch of the day such as Lunch or Dinner. See [Define the positions and time blocks](https://docs.levelset.io/schedule/setups.md#define-the-positions-and-time-blocks).

### Layouts

A **layout** is a map of where an area's positions sit in the store, so the setup reads like the store itself. Give every template a layout: click **Edit layout**, place the positions, and pick the layout in the template's **Layout** field. See [Arrange the positions on a layout](https://docs.levelset.io/schedule/setups.md#arrange-the-positions-on-a-layout).

## Discipline

Leaders file infractions and record disciplinary actions from the app, and both lists come from your discipline rules. Open **Performance > Set up > Discipline rules** and add at least one infraction with its points, and at least one disciplinary action with a **Point threshold**, the point total that recommends it. See [Discipline rules](https://docs.levelset.io/discipline/settings.md).

## Checklists

A **routine** puts a checklist on a schedule, such as the closing checklist after close every night, and the app gives it to the right people as a task. Recommended: open **Workflows > Forms**, build a checklist, and add a routine for it on the **Routines** tab. See [Routines and checklists](https://docs.levelset.io/forms/routines.md).

## Debrief

A **debrief** is the short form a leader fills in at the end of each **daypart**, such as Lunch or Dinner. Recommended, as **Set up your debrief**: edit the default debrief and save it, and choose who gets it, through a **Responsible for shift** position on your setup templates or the roles on each daypart. Until you set up your store's debrief (edit and save it, and choose who gets it), the app hides Debrief and says **Set up debriefs in the dashboard to use them here.** See [Debrief](https://docs.levelset.io/schedule/debrief.md).

## Evaluations

Where your organization uses Evaluations, regular scored reviews of each person: recommended, build an evaluation form and a rule for who reviews whom, so leaders see "Evaluate" tasks in the app. See [Evaluations](https://docs.levelset.io/evaluations/overview.md).

## Goals

Where your organization uses Goals: recommended, add a **leading goal**, a behavior your team can count during a shift, with **Who can tally** set, and a scoreboard to show it. Leaders and team members tally it on the app's **Goals** tab. See [Goals](https://docs.levelset.io/goals/overview.md) and [Scoreboards](https://docs.levelset.io/goals/scoreboards.md).

## Store hours

The store's hours and its time zone decide when **After close** checklists run, when each debrief is due, and what "today" means in the app. Open **Organization > Set up > Store details** and connect the store's Google Maps listing, which brings in its hours. The time zone has no field: connecting the Google Maps listing sets one when none is set. If a page still says it has not been set, contact Levelset support. See [Store details](https://docs.levelset.io/organization/store-details.md).

While you're there, set your **Scheduling rules**: break lengths by role and the times you don't run breaks, so the app shows who needs a break. See [Scheduling rules](https://docs.levelset.io/schedule/scheduling-rules.md).

## Turn the app on, leaders first

Turn the app on for your leaders first, let them use it for a few shifts, then invite everyone. See [Rolling out the app to your team](https://docs.levelset.io/guides/app-rollout.md).

## Store iPad

**Kiosk Mode** is the Levelset app running on a store iPad shared by the whole store: it shows the scoreboards, the day's setup and the checklists, and each person signs in with their **clock-in PIN**, the 5 or 6 digit PIN they use to clock in on the Chick-fil-A POS. Kiosk Mode is part of the Deploy plan.

Where your organization has it: recommended, once the app is on for your leaders, enroll a store iPad and have your leaders set their PINs. A PIN signs someone in only once the app is on for them.

1. On the iPad, sign in to the Levelset app as someone with Kiosk Mode > Manage Kiosk Mode.
2. Answer **Use this iPad for the store?** with **Kiosk Mode**, or open **Account** and tap **Start Kiosk Mode**.
3. Pick the store under **Which location?** and give the iPad a name under **Name this iPad**.

Each leader sets their PIN in the app the first time they sign in, under **Set your clock-in PIN**. The enrolled iPads are listed under **Kiosk Mode tablets** on [Store details](https://docs.levelset.io/organization/store-details.md#store-ipads).

## What changes from the mobile web app

The **mobile web app**, the no-login link your store shares, keeps working. In the Levelset app each person signs in as themselves, so the leader on a rating or an infraction starts on their own name, which they can change, and what they can do follows their role. On a store iPad in Kiosk Mode, a form is always filed under the person who signed in with their PIN. Ratings and infractions in the app need no leader code. See [Team links](https://docs.levelset.io/organization/team-links.md).

## Final check

Before you invite anyone, sign in to the app yourself and look at it as your team will: the **Home** tab has today's card and your tasks, the **Setup** tab shows today's setup, **+** offers the forms your role can file, and **Me** shows your profile and **My Schedule**. If something is empty, the step above that feeds it is the one to finish.
