Approvals is where requests about the schedule wait for a decision: time off, a change to when someone is available, and shift swaps. Each request is a card here, and a denial carries a reason. Open Scheduling > Approvals. The number on the Scheduling menu is how many requests are waiting at the store chosen in the header. If the page shows an upgrade notice instead of requests, schedule building isn’t part of your store’s plan; ask your manager.

Read the requests

The Requests tab holds Time Off and Availability cards. A time off card shows the person, the dates, and Paid when it is paid time off. An availability card shows the person’s requested weekly availability, marked Permanent or Temporary. Each card is Pending, Approved or Denied, and a denied card shows its reason. Filter by Type and Status, and switch between List and Calendar; the calendar shows time off by week or by month and can’t show availability requests. Click a card for the full request and its note; a time off card also lists the other requests that overlap its dates. The Shift Swaps tab holds shift trade cards. A Swap shows the shift one person Offers and the one they Receives; a House Pickup is a person taking an open shift that belonged to no one.

Approve or deny a request

Click Approve on the card. An approved time off or availability change is recorded on the request, and an approved swap moves the shifts. Approving time off leaves any shifts already on those days in place; adjust them on the schedule. Click Deny to open Deny Request: pick a reason from your organization’s list, add a Message to employee if you want, and confirm. Levelset doesn’t send a notification for either decision. Approved and denied cards stay on the page under their status filter.

Record time off yourself

When someone asks for time off in person, click Add Time Off. Pick the Employee, tick All day or set the Start and End, choose Pending or Approved under Status, tick Paid time off if it is, add a Note (optional), and save. It appears on this page and on the calendar here like any other request; a pending one waits for a decision.

Who can do what

If this page is missing for you, this table names the permission behind it. If you’re missing something here, ask whoever manages roles in your organization to turn it on.

Common questions

Check the Status filter, which starts on Pending, and the store in the header. Requests belong to one store.
Your organization has no denial reasons for that request type. There is no screen for adding them; contact support@levelset.io.
