This page holds two lists your whole organization shares: the pay rules and hourly rates for each role, and the reasons a person can pick when someone leaves. Levelset is not payroll, and nothing here pays anyone. The people themselves, and their role, area and availability, live on the Team members tab of Team & Access. Open People > Set up > Pay and termination reasons. It has two tabs, Pay and Termination reasons. When your organization has more than one store, the page shows Applies to all locations, because one change here reaches every store.

Set pay by role

The Pay tab is where your organization keeps its pay rates and the rules behind them. Say your organization pays Team Members (use your own role names) more once they are fully available, and more in back of house than front of house. The Pay tab shows only when your role can manage pay settings; without it the page opens on Termination reasons. Pay rates are private, so reading them needs the same permission as changing them. Rule Configuration lists your roles against the rules your pay for each role depends on. Your organization’s top role is not listed. Availability splits a role’s rate between Limited and Full availability. The area column, headed with your own names for front and back of house (for example FOH/BOH), splits it by area. For Team Member, tick both. Pay Rates then has a column for each role and a Starting rate in each cell to fill in. A role with Availability ticked gets a Limited and a Full column; with the area rule ticked for any role, the table gets a front of house section and a back of house section. A role with no rule ticked has one rate. Type each hourly rate; it saves when you click out of the field, and there is no save button. Availability Requirements appears once any role has the Availability rule. It is a line per role saying what full availability means, for example “Must be available 5 days per week including weekends”, so the people setting a team member to Limited or Available all apply the same test.

Edit the termination reasons

When someone leaves, the person ending their employment picks a reason from this list. On the Termination reasons tab each reason has three parts: the Reason text; a Category of Voluntary, Involuntary or Other, which is how reasons group in reporting; and a Regrettable switch for departures you wanted to prevent, so the people you wanted to keep can be counted apart from the rest. Say a Team Member leaves for another job. Levelset starts every organization with a default list that already has “Left for another job”, voluntary and regrettable. To add your own, click Add Reason, type it, pick its category, and click Save Changes. The trash icon removes a reason at once; past departures keep the reason they were given, and a removed reason’s name can’t be used for a new one. The default list is created the first time anyone in your organization opens this tab, so if someone finds the reason list empty when ending an employment, open this tab once.

Who can do what

If you’re missing something here, ask whoever manages roles in your organization to turn it on. See Roles.

Common questions

A removed reason keeps its name so past departures still show it. Pick a slightly different name.
