The Levelset app works best when the first people who open it find it useful. Roll it out in four steps: get the store ready, give it to your leaders, let them use it for a week or two, then invite everyone. Your leaders are the ones your team will ask for help, so they should know the app before anyone else.

1. Get the store ready

Work through Get your store ready for the Levelset app first, at every store. Its checklist is on the dashboard’s Home page, and the required items must be done at every store before your organization can turn on Invite your team to the Levelset app. If a store isn’t ready, the switch says which items are still open, store by store. Invites go to email, so the most common thing missing is email addresses: a team member with no email can’t be invited.

2. Turn it on for your leaders

The app is turned on for a whole role at once on People > Team & Access > Roles, once Levelset has turned rollout on for your organization; email support@levelset.io when you’re ready.
  1. Tick App on your leader roles only, for example Team Lead and Director (use your own).
  2. Switch on Invite your team to the Levelset app.
Every active person in those roles gets an email invite, or has the app turned on if they already have a login. To give it to one person instead, switch on Levelset app in their panel on the Access tab. See Invite a whole role to the app and Turn on the Levelset app for someone. Ask each leader to install the app, from the App Store on an iPhone or, on Android, from app.levelset.io/download/android after signing in to the dashboard, then sign in and set their clock-in PIN, using Getting started with the app: leaders.

3. Let leaders run a few shifts

Give your leaders a week or two with the app before inviting anyone else. In that time they should rate from the app, file from +, run the setup from the Setup tab and close out a daypart with a debrief. Anything they find empty points back to a step in Get your store ready. If your store has a store iPad, enroll it in Kiosk Mode, the Levelset app running on a store iPad shared by the whole store, where each person signs in with their clock-in PIN. Until team members are invited and have the app on, their PINs don’t sign them in, so on the iPad they can tally only goals that anyone can tally.

4. Invite everyone

When your leaders are comfortable, tick App on the rest of your roles, for example Team Member and Trainer. With the switch already on, ticking a role invites it straight away, and anyone hired into one of those roles later is invited when they’re added, if HotSchedules brought in their email; anyone added by hand with Add Team Member has no email, so on the Access tab add their email, click Invite to give them a login, and then switch on Levelset app for them; see Invite a team member. Share Getting started with the app: team members with your team.

Watch who has joined

Under the switch, a line counts the result, for example 12 invited, 4 turned on, 3 need an email., followed by anyone who couldn’t be set up and why. “Need an email” means the team member has no email address: add one and invite them from the Access tab; see Invite a team member. On the Access tab, the Status column shows each person’s progress: Invited while their invite email is unused, Active on app once the app is on for them and they’ve signed in on a phone that allowed notifications, and Active on dashboard for any other working login, including someone signed in on the app who didn’t allow notifications. See Access.

Keep it working

  • Import the schedule every week. The app’s My Schedule and the setup read the week from HotSchedules, and nothing imports it on its own. See Import the week from HotSchedules.
  • Keep setup templates current when the store’s day changes, so the Setup tab matches the floor.
  • Turning the switch off stops new invites; nobody who already has the app loses it. To take the app from one person, switch off Levelset app in their panel.
