Scheduling rules is one store’s rule sheet for running the floor: how long breaks are and when they’re due, the times of day you don’t send people on break, and how long someone should stay on one position before rotating. The setup, the plan of who works which position through the day, reads these rules on the dashboard and in the Levelset app, the phone and iPad app your team signs in to, so leaders on the floor see who needs a break and who has been on a position too long. Open Scheduling > Set up > Scheduling rules, or click Rules in the schedule’s toolbar. The page shows the store selected at the top of the sidebar; with none selected it says Choose a store to see its rules. Each store has its own rules. There are no default rules. Until a store adds a break rule, nobody is shown as needing a break, and the schedule notes No break rule set, breaks are not taken off the hours. Say your store gives team members a 30 minute break at 6 hours, runs no breaks from 11 to 1:30 at lunch, and rotates whoever is on Fries every hour (use your own roles, times and positions). The sections below set that up.

Ask Levi to add a rule

At the top of the page, type the rule in plain words in Describe the rule you want to add, for example “Team members get a 30 minute break at 6 hours”, and click the arrow or press Enter. Where your organization has Levi, the assistant built into Levelset, the Levi window opens with your sentence and drafts the rule for you to confirm. You can also add every rule by hand, as below.

Set break lengths by role

Breaks is how long breaks are, by role, and when each one is due. Each row is a Role and its Break, read as “30 min at 6 hours”: a 30 minute break once the person has worked 6 hours.
  1. Click Add a role and pick the role, or Everyone else for every role without a row of its own.
  2. Enter the hours and the minutes for the break.
  3. To give a second break on a long shift, click Add a break and enter its hours and minutes too.
  4. Mark the break Paid break or Unpaid break.
  5. Choose Required or Preferred, then click Done.
Click a row to open it again, and Remove to delete it.

Set the times you don’t run breaks

No-break times are the times of day you don’t send people on break, such as the lunch rush. Each row has a Time, its Days (or Every day) and its Area (or All areas). Click Add a no-break time, pick the start, the end and the days, and click Done. Sending someone on break during a no-break time still works, with a warning.

Set how often a position rotates

Rotations is how long someone should stay on one position before rotating off. Click Add a position, pick the position from this store’s setups, set Rotate every, for example 60 min, choose Required or Preferred, and click Done. Once all of the store’s setup positions have a rule, the page says Every position on this store’s setups has a rule.

Where the rules show up

  • On the setup: the people list beside the setup has a Breaks view that groups who Needs a break by the break rules, with Send on break and Back from break.
  • In the Levelset app: on the setup, on a phone or on a store iPad, a person who is due a break is marked, a break that is running shows how long they have been out, and someone over a position’s rotation time gets an amber flag that reads like “75 min on Fries · rotate at 60”.
Required and Preferred say how firm a rule is. A no-break time has no strength: it is always a warning.

Who can do what

If you’re missing something here, ask whoever manages roles in your organization to turn it on. See Roles.
